Challenge

The recruitment company was operating across disconnected systems, which created inefficiencies throughout the hiring process.

Vacancies were created in the CRM, but had to be manually duplicated on the website for publication, which led to errors, outdated listings, and wasted time. Applications submitted through the website were sent to email and then manually transferred by managers into the CRM. As a result, leads were often lost, while candidate source tracking and conversion analytics remained inaccurate.

This reduced both operational speed and visibility across the entire recruitment cycle.

Goal

Build a unified digital infrastructure by connecting the website with the internal CRM system. Automate data exchange to eliminate manual work, increase vacancy closing speed, and provide managers with a flexible tool for candidate and pipeline management.

Solution

We implemented a deep integration project by developing a reliable API gateway and extending the CRM functionality to enable seamless interaction with the website.

Key Features

  • Automatic vacancy publishing via API: Vacancies created or updated in the CRM are instantly published on the website in the relevant sections. When a vacancy is closed in the CRM, it is automatically archived on the website. Filtering is supported.
  • Direct application-to-CRM flow: Applications submitted through the website form automatically create or update candidate profiles in the CRM, link them to the source vacancy, and tag the source as “website.”
  • CRM workflow adaptation: We customized the CRM interface and logic for the new processes, including automatic manager notifications about new applications, custom fields for source tracking, and a simplified workflow for processing inbound leads.
  • Single working environment for recruiters: The integration eliminated the need to work in two systems. Managers can now handle the full cycle — from job posting to candidate communication — without leaving the CRM.

Outcome

The integration delivered strong operational results without replacing the core CRM system:

  • Manual work for vacancy publishing and application transfer was eliminated — saving 15+ hours per week of HR managers’ time
  • Response time to website applications improved 3x (from 3–4 hours to ~1 hour on average)
  • Analytics accuracy increased significantly: website-to-hire conversion is now tracked with 100% accuracy
  • Vacancy status errors on the website were reduced to zero
